Scanner buying guides tend to be written by people selling scanners, which is why they are full of specifications that will not affect your week. Here is the short version: for a store room, almost any cheap reader works, and the money is better spent on labels and on the software behind it.
The one thing that matters: keyboard-wedge
A keyboard-wedge scanner — sometimes called HID mode — pretends to be a USB keyboard. When it reads a barcode it types the characters very fast and then presses Enter. That is the whole interface.
It means no drivers, no SDK, no configuration, and it works identically on Windows, macOS, Linux, Android and iPad. Plug it in and it works, in a browser, on whatever hardware you already have.
1D or 2D?
1D readers see traditional stripe barcodes — Code 128, EAN, UPC. 2D readers also see QR codes and Data Matrix, and can usually read a barcode off a phone screen.
Buy 2D if the difference is £15, which it usually is. Not because you need QR codes today, but because reading a code off a screen is genuinely useful — a delivery note on someone's phone, a code emailed to a subcontractor — and because Data Matrix appears on small components where a stripe barcode will not fit.

For a fixed store-room terminal, corded is the right default. Fewer things to go wrong, nothing to charge, and nobody walks off with it. Buy Bluetooth when someone is genuinely moving around while scanning — stocktakes down long racking, or tagging equipment across a site.
What about RFID?
RFID is worth it for one specific thing in a store: identifying people. A card tapped on a reader is faster than a barcode, it works with gloves on and in poor light, and most organisations already issue RFID door cards you can reuse.
For identifying stock, RFID is a much bigger project than it first appears. Tags cost real money per item, metal and liquids interfere with them, and the appeal — reading a whole shelf at once — creates its own problem: a reader that picks up the box behind the one you are holding. For most controlled stores, barcodes on items and RFID for badges is the sweet spot.
The part people underestimate: labels
The scanner is rarely why scanning fails. Labels are.
- Print with a thermal transfer printer, not inkjet. Inkjet smudges with oil and fades in sunlight, and a store is full of both.
- Bigger is better. A wider barcode with more white space either side reads faster and from further away. Cramming it to fit a small label costs you seconds on every scan, forever.
- Leave a quiet zone — clear space at each end. Most unreadable labels are unreadable because something was printed too close to the bars.
- On tools, put the label where a hand does not sit, and consider a second one. Labels come off; a spare on the case saves a re-tagging exercise.
- Code 128 is the sensible default for internal codes: it handles letters and numbers, it is compact, and every reader in the world reads it.
Testing before you commit
Buy one, plug it into whatever computer is nearest, open a text editor and scan something. If the code appears and the cursor jumps to the next line, it will work with any web-based system. That test takes ten seconds and tells you more than the datasheet.
Then test in the actual room, at the actual angle, with the actual lighting, wearing the actual gloves. A reader that is flawless on a desk can be irritating on a badly-lit shelf at knee height — and that is a decision about where the terminal goes, not about which scanner to buy.
A sensible starting kit
- One corded 2D keyboard-wedge scanner for the store terminal, about £35.
- A thermal transfer label printer, if you are tagging equipment or bins.
- Existing staff ID cards for identification — or a cheap RFID reader if you already issue door cards.
- Any tablet or spare PC with a browser as the terminal itself.
That is under a hundred pounds for a store that can identify a person and an item in about two seconds. The rest of the problem is software and habit, which is where the effort genuinely belongs.
