Terms of service
The agreement between us. Last updated 17 August 2026.
Written to be read. Where a clause matters to you in practice — payment failure, data ownership, ending the agreement — it says so plainly rather than hiding behind length.
1. Who this is between
Nilstock ("we") and the organisation whose account it is ("you"). By creating an account you confirm you are authorised to agree to this on that organisation's behalf.
2. What we provide
Access to the Nilstock service for your subscribed sites: recording stock movements and equipment custody, the back office, terminals, imports, exports and reporting. We provide it as it is described on this website at the time you subscribe.
We may change or add features. If we remove something you depend on, we will tell account owners at least 30 days beforehand, and you may cancel and receive a refund of the unused part of your period.
3. What you pay
The plan and price shown on the pricing page when you subscribe, charged monthly per active site, in advance. Adding a site increases the charge from the following period. Prices exclude VAT, which is added where applicable.
We will give 30 days' notice before any price increase, and it will not take effect until your next renewal.
4. Trial, and what happens after it
Fourteen days, no card required, everything unlocked. If you do not subscribe by the end of it, your account becomes read-only: nothing is deleted, you can see and export everything, you simply cannot post new movements. Subscribing unlocks it immediately.
5. If a payment fails
You get seven days in which nothing changes — the service works normally and we will email you. After that the account becomes read-only on the same terms as an expired trial. Your data is never deleted for non-payment, and CSV export keeps working throughout, because a customer who cannot get their own records out is a customer being held hostage.
Paying unlocks the account automatically, without you having to contact us.
6. Your data is yours
You own everything you put in and everything the system records for you. We claim no rights over it beyond what is needed to run the service for you. We do not use it to train models, we do not sell it, and we do not share it except with the processors listed in the privacy policy.
You can export it at any time. If you close your account we delete it within 30 days — export first.
7. Your responsibilities
- Keep sign-in credentials secure and tell us promptly if one is compromised.
- Make sure the people whose movements you record know the system exists. You are the data controller for them; see the privacy policy.
- Do not attempt to access another customer's data, or test our security without asking us first — ask, and we will usually say yes.
- Do not resell access without a written agreement with us.
8. Availability
We aim for 99.9% monthly availability outside announced maintenance, and we announce maintenance in advance where we can. On Starter and Growth this is a target, not a contractual SLA with credits; Enterprise agreements can include one.
9. Ending it
Cancel any time from the billing screen. You keep access to the end of the period you have paid for. There is no minimum term and no cancellation fee on the monthly plans.
We may suspend or end an account for non-payment after the grace window, or immediately for use that is unlawful or that threatens the service for other customers. We will tell you why, and you will still be able to export your data.
10. Liability
Nilstock records what your people tell it. It is a record-keeping system, not a substitute for your own safety, compliance or stock-control procedures — in particular, calibration and service reminders are a convenience and do not transfer responsibility for the equipment to us.
To the extent the law allows, our total liability in any twelve-month period is limited to the fees you paid us in that period, and we are not liable for indirect or consequential loss, including lost profit or lost production. Nothing here limits liability for death or personal injury caused by negligence, for fraud, or for anything else that cannot lawfully be limited.
11. Changes to these terms
We will post changes here and update the date. For material changes we will email account owners at least 30 days before they take effect, and continuing to use the service after that counts as accepting them.
12. Law
These terms are governed by the law of England and Wales, and the courts of England and Wales have exclusive jurisdiction.
