The terminal

Where the product lives or dies. Everything else is reporting on top of this.

Badge, card or number
Scan an ID barcode, tap an RFID card, or type a staff number. No login, nothing to install, nothing to forget.
One flow for both kinds of thing
The operator says out or back. The barcode decides whether it is a consumable needing a quantity, or equipment going into someone's custody.
Multi-line baskets
Take six things in one trip, review, confirm once.
Optional PIN
Stops a borrowed badge being used as someone else. Locks after five wrong tries.
Idle timeout
The session ends with the person. The next one at the terminal cannot inherit their identity.
Hazard warnings
Anything flagged hazardous shows a warning before it is issued.

Consumables

Things you use up, where the question is how many are left.

Exact arithmetic
Balances are held and calculated in the database as exact decimals. Issue 0.1 litres three times and you have moved exactly 0.3.
Reorder points per site
Minimum and maximum levels, a low-stock view, and a daily digest emailed to admins.
Negative stock policy
Block the issue, allow it with a warning, or allow it silently — your call, per company.
Charge it to something
Every movement can carry a work order, cost centre, job, ward or class.
Stocktake and cycle counting
Count in the back office or by import. Differences post as ledger corrections with the delta recorded.

Equipment custody

Things that come back, where the question is who has it.

Exactly one holder
Enforced with a database row lock, and tested with ten simultaneous check-outs of the same asset.
Due dates and overdue chasing
A default loan period per company, and an automatic email to whoever is holding overdue kit.
Condition on return
The only moment anyone will tell you something is broken. Damaged kit routes to maintenance, not back to the shelf.
Who has what
A live view answering the question a manager actually asks.
Calibration and service dates
Surfaced before they lapse. Torque tools, test gear and lifting equipment are not legally usable once they do.

Getting your data in

The screen that decides whether a trial becomes a customer.

Import anything
CSV with semicolons, a UTF-8 BOM, quoted commas, currency symbols, thousands separators and dd/mm/yyyy dates. All handled.
Column mapping with guesses
It recognises Part No., Description, Qty On Hand and the rest, and you correct what it got wrong.
Dry run first
See exactly what will be created, what will be updated, and every bad row — before anything is written.
Re-import safely
Re-uploading the same sheet sets figures rather than doubling them, and never erases a column your file did not mention.

The record

What makes it evidence rather than an opinion.

Append-only ledger
Nothing edits or deletes a movement. Corrections are new, opposite entries, so a mistake and its fix both survive.
Nightly reconciliation
Every balance is recomputed from the ledger and any disagreement is reported.
Full activity log
Filter by type, item or person. Export the lot to CSV whenever you like — including while an account is read-only.
Audit trail on admin actions
Who changed a price, archived an item, revoked a terminal, and when.

Running it

Multiple sites, multiple people, without everyone seeing everything.

Roles
Owner, company admin, site master, viewer. Nobody can invite or deactivate above their own rank.
Per-site access
A site master sees and manages only their sites.
Trusted computers
Mark the office PC trusted so it stays signed in. Signing out explicitly ends that trust.
Terminals
Pair any tablet or spare PC with a six-character code. Revoke it from the back office at any time.
Labels and badges
Code 128 barcodes for shelf labels and staff badges, printable from the app.

It speaks your language

Pick your sector at signup and the words change throughout — parts and work orders, or consumables and cost centres, or kit and productions. The engine is identical; only the vocabulary and defaults differ.
